Scheduling and Queue Policy

All potential clients must fill out the appropriate project request form to receive an estimate. The estimate will include a potential start date based on the current openings in our schedule. However, a project is not placed on our calendar until a deposit is paid. Spots in our queue are filled in order deposit is received.

This deposit may be refunded if a client cancels their order more than 30 days prior to the scheduled start date. Any cancellations less than 30 days prior to the scheduled start date will result in loss of the deposit.

Projects may be rescheduled  up to two weeks prior to the start date on a case by case basis depending on the current schedule and the scope of the project. Once a project has been rescheduled, the client will not be eligible for a deposit refund if they decide to cancel the project.

Payment

All payments are processed via PayPal. By submitting a project request, clients agree to all Terms of Service listed in this document. It is the client’s responsibility to read these Terms of Service completely.

Due to the creative and digital nature of the work, no refunds will be issued (except in the case of a project cancelled by client more than 30 days prior to the scheduled start date).

The payment schedule is as follows:

Projects over $500

  • If project start date is less than 30 days away, 50% is due upfront to reserve spot in queue
  • If project start date is more than 30 days away, 25% payment required to reserve a spot in queue, with second 25% payment due by the start date
  • Remaining 50% due upon project completion

Projects under $500

  • If project start date is less than 30 days away, full payment is due upfront to reserve spot in queue
  • If project start is more than 30 days away, 50% payment is required to reserve spot in queue, with 50% due prior to project start (payment in full must be made before the project start date)
The final invoice must be paid within seven business days. If payment is not received within this timeframe, an additional fee of $50 will be added to the invoice. Beyond this point, an additional late fee of $50 will be added every week that the payment remains unpaid.

Additional Charges

Please note that additional charges will be accrued when timely receipt of requested information is not received.  A charge of 25% of the total project cost will added to the final invoice when a client fails to respond within three (3) business days once the project has begun.  Delays in receiving information will result in delays of project completion and may require that projects be moved to a later date in the queue in order to fulfill obligations to all our clients.

Client must provide correct passwords for all accounts. There will be a $15 charge for each incorrect password given.

All eBook content must be sent to Design by Insight at one time.  Unless specifically requested by Design by Insight personnel, unfinished versions of book content should not be sent. Any changes to content after the book has been submitted to Design by Insight may result in additional fees.

Design Process

It is our goal to create a design that is a good representation of a client’s style. The purpose of the Design Questionnaire is to gather as much information as possible about what the client wants, so that the design process goes smoothly and the end result is the best it can be. It is in the best interest of the client to consider the questions carefully and answer them as completely as possible. A project may have up to three revisions – further changes will be billed at $50/hour.

The design process requires frequent communication between Design by Insight and the client. Communication is done by email, and we ask the client to be available and respond to emails as quickly as possible. The project timeline is greatly dependent on the timing of feedback received from the client.

The client will be asked to approve various parts of the design throughout this process. Once an aspect of the design has been approved, additional revisions to that portion of the design will be bill at $50/hour.

eBook Formatting

The client is responsible for reviewing all eBook file types upon receipt. If a client does not have a particular ereader device, free Kindle and Nook reader apps are available for computers. Design by Insight will not be held responsible for file errors or layout issues that the client approves.

Copyright

Design by Insight frequently uses stock photos and illustrations. These require a licensing fee, which is covered in the design price. This license gives me, the designer, the right to use the images in a design, but does not give the client license to use the image in any other fashion. If a client provides photos or images, the client is responsible for complying with copyright and license agreements. Neither Design By Insight nor Erin or Phil Ulrich will be liable for any such images or files provided by the client. For eBook designs, the license obtained by Design By Insight covers sales up to 250,000 copies. The client is responsible for tracking sales and obtaining an extended license if they sell more than 250,000 copies.

Designs created by Design By Insight may be used only for the original intended purpose and may not be altered in any way. If any changes are made to the blog’s design, then all elements created by Design By Insight must be removed, and all credit to Design By Insight must also be removed. Design elements may not be altered by another designer or moved to a different location without my permission.

Unless otherwise requested, the Genesis framework and child theme is installed is under Design By Insight’s license. This does not give the client access to StudioPress forums or support. If the client prefers, they may purchase a personal license for Genesis at regular price. The client must notify us of this upfront.

Credits

Blog Designs – A design credit will be placed in the footer of the blog.  Any necessary credit for images used in design will also be included in the footer. The client must not remove this credit as long as the design is on their blog.

eBooks – Credit for cover designs must be given within the book as follows:  “Cover by Design by Insight, www.designbyinsight.net”
